Information we collect
We only collect what we need to run our classes and activities.
- Enrolment: the child's name and date of birth, the programme applied for, the parent or guardian's name, relationship, phone number, email and home address, an emergency contact, and any medical conditions, allergies or additional needs you tell us about.
- Gift Aid: your name, house number or name, postcode, the amount donated and your declaration that you pay UK tax.
- General enquiries: whatever you choose to include when you contact us.
Why we collect it, and our lawful basis
- To run our classes and keep children safe — our lawful basis is legitimate interests. We cannot deliver supervised education without knowing who a child is and how to reach their parent.
- Health and additional needs information — this is special category data. We rely on your explicit consent, given when you tick the enrolment consent box, and we use it only to keep your child safe.
- Photographs of children — we rely on your consent, which is optional and separate, and which you can withdraw at any time.
- Gift Aid declarations — our lawful basis is legal obligation. HMRC requires charities to hold a valid declaration and supporting details for each claim.
How your information is handled
This website does not store your information. Forms are delivered directly to the centre's email inbox by our form provider, which acts as a data processor on our behalf and does not retain the contents. The inbox is protected by two-factor authentication and access is limited to those who need it.
This website does not use cookies, analytics or tracking of any kind.
Who we share it with
We do not sell or share your information with anyone for marketing. We may share information in three situations only: with HMRC when we make a Gift Aid claim; with statutory agencies where we have a safeguarding duty to do so, as set out in our Safeguarding Policy; and where the law otherwise requires it.
How long we keep it
- Enrolment records: for as long as the child attends, and for three years afterwards.
- Safeguarding records: retained in line with statutory guidance, which may be longer.
- Gift Aid declarations: six years after the last claim, as HMRC requires.
- General enquiries: up to one year.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to object to how we use it, and to withdraw consent where we rely on it. To do any of these, contact us using the details above and we will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Children
Our enrolment form is completed by a parent or legal guardian, not by the child. Where a child aged 13 or over wishes to exercise their own rights over their information, we will support them to do so.
Changes
We review this notice at least once a year. Where we make a significant change we will say so on this page.
